How-To: Reporting Overview & Call Transcription

The Reporting page in your LineOne portal gives you full visibility into your phone system activity — including call history, system changes, and media events. This article walks you through everything available in Reporting, with a closer look at the Transcription & Summary feature.

⚠️ Access Notice: Some of the features covered in this article are available to users with the Site Manager, Office Manager, or Call Center Supervisor role. Standard end users will not see some of these features in the Reporting page in their portal.

📋 Accessing the Reporting Page

All reporting tasks are performed from the Reporting page. To display this page, click the Reporting icon on the menu bar
on the menu bar. Use the refresh button at the top-right of the page to reload the latest information at any time.

📞 Call History

From the Reporting page, click the Call History tab to view details of calls that have occurred within your domain for a selected time period. From here you can filter, export, listen to recordings, view transcriptions, and more.

Filtering Call History

Use the Filters button to narrow your call history to only the events you need.

  1. From the Call History tab, click Filters. The Call History Filters window appears.
  2. Fill in the relevant fields (see table below).
  3. Click Filter to apply. If no results match, you will be notified that there are no matches.
Setting Description
From The beginning date and time for the events you want to view.
To The end date and time. The maximum From–To range is 31 days.
User Enter a name or extension to filter by user.
Department Enter a department name to filter by department.
Site Enter a site name to filter by site.
Caller Number Enter a caller number to filter by the originating number.
Dialed Number Enter a dialed number to filter by the destination number.
Call Type Filter by Inbound, Outbound, or Missed calls.

📅 Note: Call history is available for the past 90 days. Use the From and To filters to view up to 31 days at a time.

Exporting Call History

You can export your call history in CSV format for use in Microsoft Excel or other tools.

  1. From the Call History tab, click Export.
  2. When prompted, click Save.
Scheduling an Export

You can schedule call history exports to run automatically on a recurring basis. Exports are delivered in CSV format.

  1. From the Call History tab, click Scheduled Exports.
  2. Click New Export.
  3. Fill in the schedule settings (see table below).
  4. Click Add when done.
Setting Description
Name A name for the schedule. Maximum 64 characters. No special characters except hyphens, spaces, or underscores.
Enabled Select Yes or No.
Type Monthly (exports previous month on the 1st), Weekly (exports previous 7 days on a chosen day), Daily (exports daily at a chosen time), or Custom (configure your own capture period and repeat cycle).
After Completion Choose where the export is delivered: Do Nothing (portal download only), Email Attachment, FTP, or SFTP.
Email Notification Required if Email Attachment is selected. Sends a notification (and attachment if applicable) to the specified address.
User Filter to a specific user's calls. Leave blank to include all users.
Include Inbound / Outbound Calls Toggle whether to include inbound and/or outbound calls. Both default to Yes.
Include Headers Toggle whether to include column headers in the CSV. Defaults to Yes.
Off-net Calls Only Toggle to include only off-net calls. Defaults to No.
Listening to & Downloading Call Recordings

If a call has been recorded, action icons will appear to the right of the call entry in the Call History tab.

  • Listen — Click the listen icon
    to replay the recording directly in the portal.
  • Download — Click the download icon
    to save the recording as a WAV audio file.
✨ Transcription & Summary

The Transcription & Summary feature allows you to generate a written transcript of any recorded call, along with an AI-generated summary — giving you a fast, searchable record of what was discussed without having to listen to the full recording.

Who can use this feature: This feature is available to users with the Site Manager, Office Manager, or Call Center Supervisor role.

How to generate a transcription:

  1. In the Call History tab, locate a recorded call. A Transcription/Summary icon
    will appear to the right of the entry.
  2. Click the icon. If the call has not yet been transcribed, you will see the option to Generate Transcription.
  3. Click Generate Transcription to begin processing.

How to generate an AI Summary:

  1. Once a transcription has been generated, click Generate Summary to create an AI summary of the transcription.
  2. Click the Transcription/Summary icon at any time to view both the full transcription and the AI summary side by side.

💡 Tip: Transcription & Summary is especially useful for call centers and teams that need to review large volumes of calls quickly, document call outcomes, or maintain records of client interactions.

Cradle to Grave
The Cradle to Grave icon
presents a simplified timeline of all events that occurred from the beginning to the end of a call, giving you a clear picture of how a call was routed and handled at each step.
Adding Notes to a Call (Call Center Supervisor)

The Add Notes icon allows you to attach disposition notes to any call record — useful for documenting the outcome of a conversation or flagging calls for follow-up.
